How to Use Teamlists to Manage Club Events and Volunteers

Volunteers are the heart of every grassroots sports club. That’s why we built a better way to organise them.


With our new Event & Volunteer Sign-Up Tool, your club can post upcoming events, assign volunteer roles, and make it easy for people to lend a hand—without the messy spreadsheets or back-and-forth texts.


Here’s how to get started:

1. Create a new Event

You can kick things off by adding an upcoming club event, such as an upcoming home game or a working bee.


  • Navigate to the Volenteers tab in your admin dashboard.

  • Please give it a name (e.g. Round 4: Home vs The Thunderhawks), select the date, and optionally provide a brief description so volunteers know what it’s about and the location.

  • Click 'Create Event' and then navigate to 'Manage Event'.

2. Add Jobs (Tasks That Need Doing)

Every event has jobs that need to be done. Whether it's firing up the BBQ or setting up the field, you can create a list of tasks that need volunteers.


  • Add a title (e.g. Ground Set Up, Run the Canteen, Cook the BBQ).

  • You can provide optional instructions or notes for each job.

  • Then click 'Add Job'.

3. Add Sessions for Each Job

Sessions break the job down into manageable blocks—great for matching tasks to time slots or shifts.

Choose from two options:


  • Fixed Time Slot: e.g. 10:00 AM – 11:00 AM

  • Flexible Sessions: Choose how many people you need per time block

Just click Add Session, select the time (or number of sessions), and you’re done.

4. Share the Volunteer Sign-Up Page

Every event gets a branded sign-up page automatically created for your club.


  • Click View Sign-Up Page to preview it.

  • Copy the link and share it in your newsletters, social posts, or wherever your club communicates.

  • Volunteers can browse the jobs, pick a session, and sign up in seconds.

5. Volunteers Get Branded Confirmation Emails

Once a volunteer signs up:


  • They receive an email in your club’s branding confirming their job and time slot.

  • The email includes a link to confirm or cancel their spot—keeping things organised and up to date for your admin team.

Other users than see that the session is filled and you will see the volunteers contact information in the admin site.

You’ve just turned a stressful task into a simple system. Your volunteers are engaged, your club looks professional, and everyone knows where they’re meant to be and when.
